Use Different Outgoing and Incoming Mail Servers with Eudora 5.x (Windows)

Mail accounts in Eudora are based on entities called Personalities.  Each personality contains an Incoming Mail (POP) server, an Outgoing Mail (SMTP) server, and one username/password combination to be used on both accounts.  For situations in which the username/password combination are the same for Incoming Mail (POP) and Outgoing Mail (SMTP), a single Personality will suffice.

However, for situations in which the Incoming Mail (POP) and Outgoing Mail (SMTP) servers do NOT share the same username/password combination, a single Personality will not work.  Two Personalities are required to work with cases in which the Incoming Mail (POP) and Outgoing Mail (SMTP) servers do NOT share the same username/password combination.  These steps are outlined below:

Create the Personality used to Send Mail

Step 1.  Using the Eudora Tools menu, select Personalities.

The Personalities window can appear in different forms.  It can appear as a separate window or as a pane in the main Eudora window.

The Personalities window has the following form.

Right-clicking (using the right mouse button) on a listed personality will cause a menu to appear.  This menu allows you to perform operations on the specific personality. 

Step 2:  Right-click on the <Dominant> personality and select Properties from the resultant menu.

A window will appear with the name "Account Settings for <Dominant>".  This window contains the server and login settings to be used with the <Dominant> personality.  The "Generic Properties" tab contains the Outgoing Mail (SMTP) server name and account username.

Step 3:  In the Generic Properties tab of the "Account Settings for <Dominant>" window, enter the information for your Incoming Mail (SMTP) server.

Enter your information as follows:

Field Value
Real Name: Enter your real name
Return Address: Enter your email address
Login Name: Enter your Incoming Mail (SMTP) login name
SMTP Server: Enter your Incoming Mail (SMTP) server
Authentication allowed checkbox check
Check Mail checkbox uncheck

After entering the information, click on the "Incoming Mail" tab of the "Account Settings for <Dominant>" window.

Step 4:  In the "Incoming Mail" tab, enter the Outgoing Mail (SMTP) server name into the "Server" blank.  Close the "OK" button to close the Account Settings window.

The <Dominant> personality will be used to send the mail.  It will not be used to retrieve the mail.

Step 5:  Right-click in the Personalities area to make a menu appear.  Select "New..." from the menu to create another personality.

Create the Personality used to Retrieve Mail

The new personality created will be used to retrieve e-mail and will not be used to send mail.  After selecting the "New..." option, the "New Account Wizard" window appears.

Step 6:  Select "Create a brand new email account" in the "New Account Wizard" window and click the "Next >" button.

This will begin the creation of a personality.  This personality will be used to retrieve the email and will NOT be used to send e-mail.  That task will be accomplished by the <Dominant> personality.

Step 7:  Enter "Retrieving" as the Personality Name in the "Personality Name" portion of the "New Account Wizard" window and click the "Next >" button.

The next portion to appear is the "Personal Information" portion.

Step 8:  Enter your real name in the "Your Name:" blank in the Personal Information portion of the "New Account Wizard" window and click the "Next >" button.

The next portion to appear is the "Email Address" portion.

Step 9:  Enter your email address in the "Email Address" blank and click the "Next >" button.

The next window will prompt for your Incoming Mail (SMTP) login name.

Step 10:  Enter your Incoming Mail (POP) account/login name and click the "Next>" button.

The next portion will prompt for the name of the Incoming Server.  Because this personality is only used for retrieving mail, POP account information only will be used.

Step 11:  Enter your Incoming Server (POP) server in the "Incoming Server" blank and click the "Next >" button.

The next window to appear is the Outgoing Email Server window where the name of the Incoming Mail server is entered.

Step 12.  In the "Outgoing Email Server" portion of the "New Account Wizard", enter your Incoming Email (POP) server in the Outgoing Server blank and click the "Next >" button.

Because the current personality (Retrieving) will not be used to send email, the "Allow authentication" checkbox does not have to be checked since it is not being used.  However, checking the box won't have any affect, so it can be checked.

Step 13.  Click the "Finish" button to complete creation of the "Retrieving" personality.

Once the Personalities have been created, a filter must be created to use both personalities at the same time.

Set up a Filter to Use Personalities

Step 14.  From the Tools menu, select Filters.

The Filters window/pane will appear.  This area will be used to set up the installed personalities so that different Incoming and Outgoing mail servers and/or login information can be used.  When the Filters window appears, it will look disabled if there are no installed filters.

Step 15.  In the Filters window, select the "New" button in the lower left corner.  This will allow the creation of a new filter.

When the "New" button is clicked, the Filters window/pane will become enabled.  (You can make changes to it.)

Step 16.  Make the following changes to the Filter:
  • Check Incoming and Manual checkboxes.
  • Select <<Personality>> as the Header.
  • Change criteria to "is" and enter "Retrieving" in the adjacent textbox.
  • Under Action, select "Make Personality" and select <Dominant> in the adjacent dropdown list.
  • Select "Skip Rest" as the next action to select.
  • Close the Filters window.

After closing the Filters window, you will be prompted to save the filter.

Step 17.  When prompted to save the Filter, choose to save it by clicking the "Yes" button.

After the filter is saved, Eudora will be able to use a different account for receiving mail than sending mail.

 

Step 18.  When retrieving your email from the Incoming Mail (POP) server, just enter your Incoming Mail (POP) password and click "OK".

 

You can now use a different Outgoing Mail (SMTP) server to send your email.

 

Step 19.  When sending email, enter your Outgoing Mail (SMTP) password and click "OK".
